Cloud check printing for businesses

CheckStream: secure cloud check printing software for business

CheckStream is cloud check printing software for businesses that print their own checks. Upload a batch file, review, authorize and sign it in a web browser, print it in one pass on blank stock on a MICR printer, then send the bank a Positive Pay file.

It is built for accounts payable, payroll and treasury teams that want control of every check without a cabinet of pre-printed stock, from one office to many locations.

How it works

From batch file to printed check in four steps

Your accounting system already knows who to pay. CheckStream takes that batch through approval and onto the printer, and gives the bank the file it needs to protect the account.

  1. 1

    Upload the batch file

Your accounting system produces the payment batch. Upload it to CheckStream; no checks are typed by hand.

  2. 2

    Review, authorize and sign

The batch is reviewed and authorized by the people allowed to do it, from any location, and the authorized signature is applied automatically.

  3. 3

    Print in one pass

Each check prints on blank check stock on a MICR printer: bank details, company and bank logos, signature and MICR line in a single pass.

  4. 4

    Send the Positive Pay file

Export the Positive Pay file for the batch and send it to the bank, so it clears only the checks you issued.

Built for control

Every check authorized, signed and recorded

CheckStream keeps the decisions with the people who own them. Authorization can happen anywhere; signing happens only at print time, under password control; and every action is recorded.

Three openings for check fraud sit inside the business itself: a stack of pre-printed checks, a signature stamp in a drawer, and a payment nobody remembers approving. CheckStream closes each one.

There are no pre-printed checks waiting in a cabinet, because every check prints on blank stock. There is no signature stamp, because the authorized signature is stored encrypted and applied automatically, under password control, when an approved batch prints. And CheckStream keeps reporting and an audit trail of users and data.

Several bank accounts and several signers are managed from one central system, and CheckStream scales across multiple locations, each printing on its own MICR printer.

Security

CheckStream security controls

The controls are named, not implied. Each one below is part of how CheckStream prints a check.

CheckStream security controls
ControlWhat it does
Signature encryptionAuthorized signatures are encrypted, and so is the payment data.
Password-controlled signaturesA signature is applied only through a password, so no check is signed by hand.
Remote authorizationBatches are reviewed and authorized from any location, in a web browser.
Accounts and signersMultiple bank accounts and multiple signers are managed from one central system.
Audit trailReporting and an audit trail of users and data.
Positive PayA Positive Pay file is exported for the bank after each batch prints.
Blank stockChecks print on blank check stock, so no pre-printed checks for each account are kept on hand.
HostingServers are managed for you and updates are applied automatically.

How these controls fit a wider fraud program, including Positive Pay, is covered in how to print checks.

What you can print

Seven kinds of payment document, one system

CheckStream prints the payment documents a finance operation actually issues, from the same batch process and on the same blank stock.

  • Payroll

Paychecks for employees, printed from the payroll batch.

  • Accounts payable

Supplier payments from the payables run.

  • Claim checks

    Insurance and benefit claim payments.

  • Explanation of benefits

EOBs printed alongside the payments they explain.

  • Direct deposit slips

Advice slips for payments made by direct deposit.

  • Wealth management disbursements

    Distributions to clients and beneficiaries.

  • Remittances

Remittance documents that travel with a payment.

Your accounting system

Works with your accounting system through the batch file

CheckStream connects to accounting software through the batch file. Your system keeps doing what it does well: deciding who gets paid and how much. It produces the batch, and CheckStream takes over from there, so there is nothing to retype and no second list of payees to maintain.

Tell us which system you use and what its payment batch looks like, and we will show you how it runs in CheckStream during the demo.

What runs it

A browser, a MICR printer and blank stock

CheckStream runs in a web browser on a desktop, a tablet or a phone. The servers are managed for you, updates are applied automatically, and the service is built for business continuity with minimal downtime.

At each location that prints, you need three things, and Rosetta Technologies supplies all three: a MICR printer, ProMark™ MICR toner and blank check stock.

Who uses it

Built for the teams that issue checks

CheckStream fits wherever a business prints its own checks and wants the approvals and records to match.

Accounts payable

Supplier payment runs from the payables batch, authorized by the right people before anything prints. See check printing for small and mid-size businesses.

Payroll

Paychecks and direct deposit slips on the payroll calendar, with signatures applied only to approved batches. See payroll and claims printing.

Treasury and multi-location

Multiple bank accounts and signers in one system, with each location printing on its own MICR printer. See banks and financial institutions.

Common questions

CheckStream, answered

For anything not covered here, contact us.

What is CheckStream?

CheckStream is cloud check printing software from Rosetta Technologies for businesses that print their own checks. A payment batch from your accounting system is uploaded, reviewed, authorized and signed in a web browser, printed on blank check stock on a MICR printer, and followed by a Positive Pay file for the bank.

Does CheckStream work with my accounting system?

CheckStream works with accounting software through a batch file: the accounting system produces the payment batch and CheckStream prints it. Contact Rosetta Technologies with the system you use and the batch it produces, and we will tell you how it fits.

Can CheckStream print checks on blank check stock?

Yes. CheckStream prints the bank details, the company and bank logos and the authorized signature in one pass on blank check stock, on a MICR printer. Because every account prints on the same blank stock, there is no supply of pre-printed, multi-colored check paper to keep for each account.

Can a batch be approved away from the office?

Yes. CheckStream runs in a web browser on a desktop, a tablet or a phone, so the people allowed to review and authorize a batch can do it from any location. The checks still print on the MICR printer at your site.

How are signatures protected?

Authorized signatures are encrypted and are applied only at print time, under password control, so no check is signed by hand. CheckStream also keeps reporting and an audit trail of users and data.

What is the difference between CheckStream and CheckStream Dispatch?

With CheckStream, your team prints checks on its own MICR printer. With CheckStream Dispatch, your team uploads and approves the payments, and Rosetta Technologies prints, signs and mails the checks for you. Both give the bank a Positive Pay file.

How is CheckStream priced?

CheckStream is quoted directly for each organization, after a demo, based on your setup. Request a demo and Rosetta Technologies will prepare a quote for the way you print.
